QuickBooks provides two basic ways to print refund checks for customers. You can either print individual checks for each refund required, or you can combine several credits and issue one check. The refund displays within your checking account register as a negative charge based on the date of the check when you complete issuing a refund. Once you issue the credit, you can print the check using the Print Checks window.
Customers With Multiple Credits
Click the "Banking" menu and select "Write Checks."
Click the "Bank Account" drop-down list and select your checking account.
Select the "Pay to the Order Of" drop-down menu and select the customer.
Click the "Date" field and select a new date, if necessary, and then input the amount of the check into the "$" field.
Select "Accounts Receivable" from the "Accounts" drop-down list in the "Expenses" tab.
Click "Save & Close."
Click the "Customers" menu and select "Receive Payments."
Click the "Received From" drop-down menu and select the customer receiving the refund from the list.
Check the checkmark column for each transaction you want to apply a credit to in the register.
Click the "Discounts & Credits" button and select each credit you want to include on the check, and then click "Done."
Click "Save & Close" on the Received Payment window.
Create a Single Item Refund Check
Click the "Customers" menu and select "Create Credit Memos/Refunds."
Select the customer from the "Customer:Job" drop-down list.
Enter the item returned into the first blank row of the Item column or click the row, select the down arrow and select an item from the list.
Select the "Use Credit to Give Refund" button in the toolbar and click "OK."
Click "Save & Close" on the Create Credit Menu/Refunds window.
Click the "File" menu, select "Print Forms" and choose "Checks."
Check the checkmark column next to each check you want to print and select the "OK" button.
Choose the printer you want to use from the "Printer Name" drop-down list in the "Settings" tab.
Select "Standard" from the Check Style section and click "Print."
